General Purpose/Summary of Job

Assist Senior Vice President, Internal Audit with daily responsibilities, including schedule management, travel arrangements, event planning and execution, and facilitating the overall coordination of the Senior Vice President’s activities.  Individual must be detail-oriented, organized and able to prioritize responsibilities to ensure all work is timely completed.  Individual must have excellent communication skills, be diligent regarding confidential matters and able to work independently. 

Primary Duties and Responsibilities

  • Answer telephones and assist callers with needed information when possible.  Record accurate messages.  Arrange conference calls.
  • Manage calendar, schedule meetings and manage contacts within Outlook.
  • Process mail, invoices, T&E, and other documents.
  • Handle confidential distributions to Senior Management and the Board of Trustees.
  • Organize and manage files.  Oversee document retention for the department.
  • Order supplies and maintain equipment needs for the department.
  • Maintain a professional manner and appearance in dealing with employees and clients both in person and on the telephone.
  • Respond to inquiries from internal and external personnel using proper judgment and initiative to ensure critical issues are handled appropriately.
  • Coordinate travel arrangements.
  • Create and/or edit Excel spreadsheets, Word documents, and PowerPoint presentations.
  • Reception coverage.

  • Create sensible, realistic and practical solutions to problems.
  • Efficiently and effectively plan, organize, budget, schedule, and execute assigned tasks; manage multiple assignments and priorities; adapt quickly to changing circumstances and priorities.
  • Perform competently under heavy time and workload pressure when necessary.
  • Personable and a team player.
  • Able to communicate well and in a positive manner with customers, employees, visitors, and vendors at all times.
  • Prompt and reliable.



  • Strong Word and PowerPoint skills
  • Intermediate Excel background
  • Competent with Outlook, Visio, and Adobe


Minimum Requirements:

  • 2 year degree or suitable demonstrated experience
  • Minimum 3+ years’ experience as an Administrative Assistant
